Administration Specialist
We are looking for an Administration Specialist for a company in Lund. Start is in April, 9-month limited contract to begin with.
Manage the programme’s administrative tasks at a management level, ensuring efficient coordination and high-quality support across all activities.
Plan, organise, coordinate, and support the execution of management meetings, organisational meetings, events, and similar activities. This includes preparing agendas, taking accurate meeting notes, and distributing clear summaries and action points to stakeholders.
Provide general office and administrative support to the department, ensuring smooth day-to-day operations.
Ensure that programme facilities and resources are fit for purpose and aligned with operational needs.
Handle travel planning and management, including bookings and logistics for management and programme stakeholders.
Support purchasing processes and invoice handling in accordance with internal procedures.
Assist with expense reporting at a management level, ensuring accuracy and timely submission.
Manage logistics related to programme resources (both internal and external), including onboarding and offboarding processes.
Define, implement, and maintain administrative programme policies and procedures to ensure consistency and efficiency.
Qualifications and Requirements
Minimum of 3 years of relevant administrative experience, preferably at a management or programme level
Strong proficiency in Microsoft Office tools, including PowerPoint and Microsoft Project
Excellent communication skills in English, both written and spoken (required)
Proven ability to multitask and manage multiple priorities in a structured and efficient manner
Strong attention to detail, particularly in note-taking during meetings and in producing clear and concise summaries
Ability to work independently while also supporting a broader team
This role requires fluency in Swedish and English, both written and spoken.
Scope of Assignment
The assignment is estimated at approximately 70–100% of a full-time position, with a higher workload and intensity expected during the initial phase.
This is a consultant position in Lund through Incluso. Start is in April, 9-month limited contract to begin with, with possibility of extension after that. This role is 100% onsite in Lund.
